For example, an employee takes an order and the client changes their mind. If the servers are voiding items that are delivered to the client instead of accounting them as a comp, you will bring down your gross food sales which makes it appear that the sale never happened. In these situations, it is possible for a server to charge a client the full amount for their order, but afterwards void items from the ticket and pocket the amount.
For example, a customer orders three items for a final bill of $25. The customer then gives $30 cash on the table for the bill including the tip. The employee then voids one of the items out, bringing the total down to $18. Therefore, the server pockets the extra $7 plus the original $5 tip, and the register still shows the correct amount of cash-based sales.
Let’s see another example. An employee or manager takes an order and tenders it for cash, but the client changes their mind and wishes to pay with a credit card. Now the order is over-rang (also called a void), so the employee re-rings it and tenders it for the credit card. This method is usually used to let the client select a different payment method, but it can also be used for clients’ mistakes, clients changing their minds, or clients leaving without payment and without product.
Void and over-ring receipts must be reconciled when the cashier’s register is settled. Reconciliation means that every void or over-ring must incorporate the original receipt, the void receipt, and the re-ring receipt (when that applies), with descriptions and signatures by both the cashier and manager. During the next business day, all void and over-ring activity must be verified while reviewing the previous day’s paperwork.
